The above shared drive folder has the following sub-folders:

  • Archive - Contains the files that have been loaded to the database in the past.
  • Error Logs - Contains the following 2 files
    • Invalid_data_error_log.csv - Contains invalid data records in the file (records for which Test Date is null or u-number is null or Attempt Number is null or Scores are not valid), when such data was available last.
    • Invalid_Unumber_error_log.csv - Contains invalid Unumber records in the file, when such data was available last.
  • Required file format - Contains the template file 'CBSE_File_Format.xlsx'. Please use it to generate any files that need to be uploadedloaded to the database. Note that the file has to be in .xlsx format, with all the columns present as in the template, in the same order.

New File Loading Process

Follow these steps to provide a new CBSE data file for loading to database:

  1. Check access to the shared drive folder (\\hscetl\data\USMLE\CBSE). Go to the folder.
  2. Go to 'Required file format folder and use ' sub-folder (\\hscetl\data\USMLE\CBSE\Required file format) and open the 'CBSE_File_Format.xlsx' file. template file to format the CBSE data that needs to be uploaded. The file
  3. Create the new file(s) with the same format as the above template file. 
  4. The file(s) should be named appropriately with a date appended in the end.Once the file has been created save it to the (\\hscnet\etl, and saved as an 'Excel Workbook' (*.xlsx) to the (\hscetl\data\USMLE\CBSE) folder. If there are multiple files they all can be placed in the same location.

  3. Open the file(s) and fix the errors. Go to 'Required file format folder and use the 'CBSE_File_Format.xlsx'. template file to format the data. The file should be named appropriately with a date appended in the end.error records in the file(s). 
  4. Save the file(s) as a an 'Excel Workbook' (*.xlsx file(s) to  to the (\\hscnet\etl\USMLE\CBSE) location.  If there are multiple files they all can be placed in the same location(Note the error log will be in a .csv format and you will need to save it to a .xlsx format as per process)
  5. Rename the file(s) appropriately with a date appended in the end.
