You need to have access to the following shared drive folder to proceed:

\\hscnethscetl\etldata\USMLE\CBSE

The above shared drive folder has the following sub-folders:

  • Archive - Contains the files that have been loaded to the database in the past.
  • Error Logs - Contains the following 2 files
    • Invalid_data_error_log.csv - Contains invalid data records in the file, when such data was available last.
    • Invalid_Unumber_error_log.csv - Contains invalid Unumber records in the file, when such data was available last.
  • Required file format - Contains the template file 'CBSE_File_Format.xlsx'. Please use it to generate any files that need to be uploaded. Note that the file has to be in .xlsx format, with all the columns present in the template.

New File Loading Process

  1. Check access to the shared drive folder (\\hscnethscetl\etldata\USMLE\CBSE). Go to the folder.
  2. Go to 'Required file format folder and use the 'CBSE_File_Format.xlsx'. template file to format the CBSE data that needs to be uploaded. The file should be named appropriately with a date appended in the end.
  3. Once the file has been created save it to the (\\hscnet\etl\USMLE\CBSE) folder. If there are multiple files they all can be placed in the same location.

Data Correction and Corrected Records File loading Process

You will be notified if there are data errors while loading the file(s). The email will mention the location and file name of the error log. Please Note the error log will be in a .csv format and you will need to save it to a .xlsx format as per process. Please check instructions below;


Follow these steps to provide a corrected file for loading to database:

  1. Check access to the shared drive folder (\\hscetl\data\USMLE\CBSE). Go to the folder.
  2. Go to the 'Error Logs' sub-folder (\\hscetl\data\USMLE\CBSE\Error Logs). Locate the file mentioned in the email provided.
  3. Open the file(s) and fix the errors. Go to 'Required file format folder and use the 'CBSE_File_Format.xlsx'. template file to format the data. The file should be named appropriately with a date appended in the end.
  4. Save the file(s) as a .xlsx file(s) to the (\\hscnet\etl\USMLE\CBSE) location. If there are multiple files they all can be placed in the same location.
