Report Description

The Global Department Crosswalk report shows how individual departments with data in one or more USF source systems, such as FAST, GEMS, OASIS, Health Banner, Epic, GE/IDX, CODA, are currently grouped together into easier to use and understand "global" departments for reporting, data access control, and other processes.

Mapping page

This page allows you to:

  1. select one or more Global Departments and see which Source Departments from which Source Systems roll up to it,
  2. select one or more Source Departments and see which Source Systems they are from and which Global Departments they roll up into,
  3. select one or more Source Systems and see which Source Departments they contain and which Global Departments they roll up into, or
  4. any combination of the previous three.

The search boxes on this page can help you find Global or Source Departments by name or number (or even the department's primary CIP-code), such as "accounting" or "1402", then use those results to select the one or more Departments which you are most interested in seeing how they are mapped.

Filters

Type of College or Unit

Choose from either "Academic" or "Non-Academic" to limit the global departments to just those colleges/units manually grouped into one of these categories.  For example, Collage of Arts and Sciences global departments are grouped as "Academic", whereas "University Administrative Services" global departments are grouped as "Non-Academic".  This filter is offered to reduce the number of colleges/units to select from next.

College or Unit Name

Name of the College or non-academic Unit used to group one or more Global Departments, for example "College of Arts and Sciences", "USFSM College of Business", "VP Executive Offices".  This is part of the Global Department structure, though it usually reconciles with a department's college-code in GEMS and budget-tree-node in FAST. This is often used as a filter to reduce the number of Global Departments to select from next.

In case you have used multiple filters and want all of them quickly reset to their defaults.

Visualizations

This three visualizations on this page are used in conjunction with each other so that you can:

  1. select one or more Global Departments and see which Source Departments from which Source Systems roll up to it;
  2. select one or more Source Departments and see which Source Systems they are from and which Global Departments they roll up into;
  3. select one or more Source Systems and see which Source Departments they contain and which Global Departments they roll up into; or
  4. any combination of the previous three.

Global Department Name, and [Primary CIP-code]

Name of the Global Department, as defined in the Global Department system and used to group department-IDs from multiple source systems.  Note that there is no global department "ID", this name is all you need.  An example Global Department is  "USFSM ACCOUNTING", which groups GEMS 4-1402-000, FAST 521402, and OASIS ACC departments together, since they all represent USFSM's Accounting department.

The 6-digit CIP code designated as the "primary" CIP-code for a Global Department, as determined annually by the colleges with the Office of Decision Support, then updated in the Global Department system.  For example, "450201" was determined to be the primary CIP-code for Global Department "CAS ANTHROPOLOGY".  It also happens to be the primary CIP-code for Global Department "USFSM ANTHROPOLOGY".

Note that not all departments have a primary CIP-code, especially non-academic ones, like "AMBULATORY SURGERY CENTER", and note that even though a department has a primary CIP-code, they can still offer programs that fall under other CIP-codes.

Source Department ID, Name

The source-system-specific ID and name/description for a department.  For example, "0-0101-000" is the DEPTID and "President's Office" is the DESCR in the GEMS source system for a department, which happens to be grouped under the global department "VP EXECUTIVE OFFICES" along with "010100" and "OFFICE OF THE PRESIDENT" DEPTID and DESCR in the FAST source system, along with some other FAST and GEMS departments.

Note that for OASIS departments, the source-system department ID used in the global department system is a concatenation of both the STVDEPT_CODE and STVCOLL_CODE fields, because they are always used as a pair for courses and students, and that allows us to reflect how the same OASIS department code represents different global departments based on the college code with which it is used.  For example, "CHM_AS : Chemistry - Arts and Sciences" belongs to global department "CAS CHEMISTRY", whereas "CHM_AP : Chemistry - Arts and Sciences USFSP" belongs to global department "USFSP BIOLOGICAL SCIENCES".  One amusing side-effect of this pairing and USF's history of renaming colleges is that a global department can include a pair that has not been used in many years, such as "CHM_NS : Chemistry - Natural Sciences" even though the college of Natural Sciences was replaced years ago.

Quickly find a global department mapping that contains a string you seek, such as "400501" (which will match a primary CIP-code), "Chemistry" (which will match source department names and global department names), "6413" (which will partially match source department IDs), or even "Arts and Sciences" (which will match a college name).
  2. See the number and type of source system departments that comprise each college/unit or, if you drill down, each global department.

  2. select a bar from the Number of Department IDs chart and see the global department mapping details for that College/Unit (or Global Department, if you drilled down) as well as which portion of the pie those departments comprise;
  3. select a global department mapping details line and see where that falls in the bar chart as well as in the pie chart;
  4. select a source system's slice of the pie chart and see where that falls in the bar chart as which global department mappings involve that source system.

This stacked bar chart allows you to compare between Colleges (or Units) the number of source departments from each source system, and when you drill down, compare the number between Global Departments.

Global Department Mapping Details

This table of details allows you to see the full mapping between:

  • each Global Department, including it's primary CIP-code (if appropriate) and the College/Unit Name it falls under, and
  • each source department, including the Source System, Source Dept ID, Source Department Name and the departments current status being active or inactive.

If you select a line in this list, the two related visualizations on this page will respond.

Number of Departments by Source System

This pie chart allows you to compare between Source Systems (e.g. FAST, GEMS) the number of departments that are part of the global department mappings.

Data Refreshed On

Data in this report is not live, but it is refreshed nightly. The date on the bottom right of the report displays the most recent day the data was pulled from the source, which is the data warehouse global department crosswalk, which has manually maintained mapping data and nightly refreshed source-system department IDs and names.

Disclaimer

This report displays department information from the data warehouse as of the refresh date.  The data warehouse has a nightly scheduled refresh from the source systems. All values are subject to change over time.
