Stop:

  • As many manual parts of these process underlying these deliverables (automate manual processes)

Start:

  • Updates of documentation according to most recent changes

  • Clear identification of dependencies and their impact on timelines

  • New cleaner process for capturing external data

  • Annual review of methodology and process with external units

  • Use BA for documentation

  • Kick-off / planning meeting (to include appropriate leadership)

  • Consider and note feedback from college projections for usage in next cycle of PPA and Accountability Plan.

  • Educate the external stakeholders, where needed, how the data is being used

Continue:

  • Consistent folder structure and organization for each year

  • CR/PPA Status meetings

  • Documentation of methodology and SAS code

 

Further Discussion

  • Would like to investigate moving cohort management and benchmark data into SID

  • Suggestion to have a kick-off meeting with all stakeholders, including externals. They have done this in the past and found emails to be just as efficient.

  • One consolidated location for all data would be helpful

  • PPA and Accountability Plan have similar goals and when they review projections it would be helpful to close the loop with the units providing projections to let them know whether the colleges accepted them or not.

  • Some PPA goals are derived from SAS code, need QA

  • Code repository is where SAS code and it’s associated documentation are stored

Action Items

  • Automate as many manual processes as possible (Shruti, Sangita)

  • Get timelines from externals on when they will have updated data, this will help us to determine what is included in each update and when we can expect data (Sangita, Shruti, Valeria)

  • Close the loop to provide feedback on College’s acceptances of projections/goals. (Valeria)

  • Revisit crosswalk and update (Shruti)

  • Integrate crosswalk with Strategic Plan metrics (Sarah/Shruti/Valeria)

  • Meeting scheduled with Jay, Shruti, Brisey, Valeria and Sarah to review the crosswalk and Strategic Plan metrics. (Sarah)
