Welcome to the IPEDS Human Resources (HR) survey component. The HR component collects important information about your institution's staff. 

Human Resources Workflow
  1. Student Success Research & Analysis (SSRA) Data Coordinator for IPEDS creates user ID's for Faculty Data Reporting & Analytics (FDRA) Data Coordinator and Accountable Officer on behalf of the Keyholder.
  2. FDRA Data Coordinator inputs data to IPEDS portal.
  3. FDRA Data Coordinator runs edit report.
  4. SSRA Data Coordinator runs checks and balances on edit report and survey data.
  5. SSRA creates External Data Request (EDR) for submission in JIRA based on IPEDS calendar.
  6. SSRA gets survey package from IPEDS for Box folder.
  7. FDRA sends relevant documentation to PMBA for Box.
  8. SSRA creates sign-off 
  9. SSRA sends sign-off via DocuSign.
  10. FDRA Data Coordinator, FDRA Accountable Officer and Key-holder sign off 
  11. First lock by USF IPEDS Key-holder  
  12. Save and share a copy of the submitted survey to BOX and USF ODS website.

2022-23

The following changes were implemented for the 2022-23 data collection period:
The reporting date for new hires has been changed to state that for new hires you must report the number of persons who were hired for full-time permanent employment either for the first time (new to the institution) or after a break in service of persons that are on the payroll of the institution as of November 1, 2022.
The ‘Nonresident alien’ category has been changed to 'U.S. Nonresident’ but should include the same category of staff/faculty.

Report data to accurately reflect the time period corresponding with the IPEDS survey component, even if such reporting is seemingly inconsistent with prior- year reporting.
Report each employee only once. If an employee could be coded in more than one occupation, code the employee in the occupation that requires the highest level of skill OR if there is no measurable difference in skill requirements, code the employee in the occupation in which they spend the most time.

Report staff members difficult to categorize in the "Human Resources Survey Evaluation" box at the end of the survey.
Enter data on each displayed screen. If a screen is not applicable, enter at least one zero in a field on the screen and save before continuing.
When reporting salary data (applicable to degree-granting institutions only) include all full-time, non-medical school, instructional staff - both with and without faculty status.

For example, if a summer term began later than usual due to Coronavirus Pandemic postponements, continue to report using the timeframes as defined in the IPEDS instructions. NCES expects that some data reported during the 2021-22 data collection year will vary from established prior trends due to the impacts of Coronavirus Pandemic. If an error edit is triggered even when submitting accurate data, please indicate in the corresponding context box or verbally to the Help Desk that the seemingly inconsistent data are accurate and reflect the effects of Coronavirus Pandemic.
