SIS Reports Migration to Power BI Project - User Acceptance Testing (UAT) Information

This page is dedicated to documenting the process for end users to test SIS reports that will be converted to the Power BI environment.

Steps

Overview:

The Student Information System (SIS) reports are currently available in the SAP platform. There is a project underway to convert these reports to a new, modern reporting platform. This project is beginning to pick up momentum, and the end-user community is asked to lend their valuable expertise and input to ensure that the converted reports return the same results as those in the SAP enviorment.

The reports are being converted by a consulting group hired by USF’s IT.

Number of Reports:

  • Number of reports (as of 2/1/2024): 386

  • Number of reports retired (as of 4/26/24): 71

  • Number of reports to be converted: 315


The ODS-APOR team has analyzed the reports to determine the priority of the conversion and have created a spreadsheet that will be used by end users to volunteer to test the converted reports. The steps are outlined below.

User Acceptance Testing:

  1. Click on the link to the UAT Sign-Up spreadsheet: https://usf.box.com/s/lfy8xkeins9dcb3nficyv51baigl00la .

  2. In the top right, click on the “Open” button and select “Microsoft Excel Online” in order to edit the spreadsheet (image below).

  1. Scroll through the list of reports that are in the “Academic Student” and the “Academic Course” folders and volunteer to test any of the reports that are currently available for sign up.

  2. A column is provided to enter the dates when you are unavailable to test the reports for which you volunteer to test.

  3. Once the report has been converted and your testing is complete, there are two columns in the spreadsheet for your sign off (accept/not accept) and the date. If you do not accept the converted report as sufficient, and note such in the appropriate column, please add comments for why you are not accepting the converted report.

Items to Note:

  1. Once end users have volunteered to test reports, a SIS Reports Conversion UAT Teams channel will be set up. The channel will be used for communication while testing and be monitored by ODS-APOR.

  2. The consulting group will communicate via email when the report is ready for testing. The volunteer tester will have 15 business days to review the converted report and respond to accept or not accept the report. However if you are unable to review the converted report in that timeframe, please respond to the consultant's email within 5 business days of when you will be able to review the converted report.

  3. More than one person may volunteer to test a report. There are three columns for testers (Tester 1, Tester 2, Tester 3).

  4. If there are no volunteers for a report, it will be moved to the bottom of the priority list. During the processes, if no one volunteers to test the report, it will not be converted to the new environment.
