Overview

Power BI is a business analytics service that provides interactive visualizations and business intelligence capabilities that allow the USF community to view and create reports and dashboards. Data is used from multiple University of South Florida sources to provide reports that inform data-driven decisions. Reports for data out of GEMS, FAST, Archivum, and Health Banner may be shared with you based on your role at USF.

Everyone who has access to Microsoft 365 provided by USF have the ability to use and download Power BI.

Accessing Power BI

Power BI might skip steps 5 and 6 if you've already signed into to another system in this browser.

  1. Go to http://app.powerbi.com

Access Power BI as a USF Health User

  1. Go to http://app.powerbi.com
  2. Click the Sign In button.
    You will be brought to a site to sign in.
  3. Enter your USF email address. If you do not have a USF email, provide test@usf.edu as your email.

  4. Click the Next button.
    You will be redirected to the USF NetID Single-SignOn site.
    See Figure 1 above.

    Note

    If the page that loads does not look like Figure 1 above, you will need to open a private window and follow the process again from Step 1. Be sure to provide an email address ending in @usf.edu to be redirected to the correct sign on site.

  5. Enter your full USF Health email address and password.
  6. Click the Sign In button.
    The Power BI system will load.

Resolving Error: "Sorry... We can't finish signing you up."

When signing into Power BI with your USF Health account, you will receive an error similar to Figure 2 or Figure 3 below. This means you entered a USF Health email address on the Power BI Sign In page. To resolve this error, you must open a private window and follow the process for Accessing Power BI as a USF Health User. Remember to use a USF email address (@usf.edu) for the Power BI Sign In Page.

Download Desktop Application

  1. Once logging into the website, select the Arrow Down located in the upper right of the banner.

  2. Select Power BI Desktop.

  3. A pop up will appear. Select Open Microsoft Store.

  4. Select Get to start the download.

  5. Select Open once the download is complete.

  6. You will be prompted to sign in with your existing USF account. If it is does not show, select Work or school account to continue the log in process.

Searching for a Report on the website

There are four ways to find a report or dashboard in Power BI: search, shared with me, workspaces, and apps.

  1. Click the Search box in the top center of the page.

  2. Type keywords found in either the report or dashboard title.
    A list will populate of possible options.
  3. Click on the report to open.

Shared with me

If someone has shared a report or dashboard with you, you can always find it in the Shared with me section.

  1. Click on Browse on the left side of your screen.
  2. Click Shared with me to view all reports that have been shared with you.

Workspaces

These spaces group dashboards and reports into sets of similar reports, much like you might use a folder for your files on a computer. You will have a workspace for most of your Teams.

  1. Click on Workspace on the left side of your screen to see your list of workspaces.
    A list will automatically populate.

  2. Click on the report or dashboard you want to open.

Apps

You may only have access to a report through an App. Apps are like workspaces in that they group reports into sets from a workspace.

  1. Click on Apps on the left side of your screen to see your loaded apps.
    Apps available to you are populated on the right side of the screen.

  2. Click on the app you want to open.
