All requests are processed based on priorities & and available staffing to process/complete each task. Complex requests may require additional follow-up in order to complete the request and may delay the completion date, please . Please plan ahead accordingly.

titleStep 1 : Create Complete the Poster
Create your poster in PowerPoint using one of the following marketing approved USF College of Nursing poster templates:
  1. Link to attachment ?
  2. Link to attachment ?
  3. Link to attachment ?
  4. Link to attachment ?
  1. Receive completed poster request form AND poster document.
    1. Poster document may need to be formatted.
  2. Send poster document to Trudy Wittenberg for approval.
  3. After poster request is approved by Trudy, send form to the appropriate Associate Dean for approval.
  4. After receipt of all signatures, forward poster document to ProCopy  Meagan@pro-copy.com) and request a poster proof.  Attach completed poster request form to the email and cc: Jean Vaccaro, Michelle Phillips, and Janice Walker.
  5. Email faculty member or student once their poster proof has arrives.
  6. If any changes have been made to the poster document, forward the updated document to ProCopy and request a final poster.  If no changes have been made, notify ProCopy that it is ok to move forward with the poster.

 

*as mentioned on the poster form, there is a process that must be followed when posters are being requested.  Requestors are encouraged to submit poster requests early to ensure timely receipt of the final poster*

 

Below is the email template sent to Faculty and students that are interested in having a poster printed:

 

Subject: Poster Request

 

Good Morning/Afternoon Dr.,

 

Please find attached the poster request form that must be completed before any poster proof or final poster can be requested.  Please submit this poster request form along with your poster document to [enter email address]. Please also send information in your reply email to let me know who will be paying for this poster (the college or from a specific fund). Please be mindful of the associated timeframe. While most poster requests do not take three weeks to complete, the following things can affect how long it takes for a final poster to be received:

 

·your availability to review any formatting edits made to your poster document or proof

·how quickly you can provide required research information for poster approval (if applicable)

·the availability of poster request form signatories or their designee(s)

·staff workload at the time of your request

 (warning)  Advance planning is required to complete this form (3-4 weeks in advance): 

Gather the following information prior to completing the form:

  1. Date poster is required
  2. Poster title
  3. Presentation venue mailing/shipping address (conference/event)
  4. Poster size requirements if attending a conference (after printing)
  5. Must indicate Estimated Cost and Fund Source prior to routing for any approvals.
  6. Dean/Associate Dean Signature is required prior to routing for IRB and Marketing approval (DocuSign preferred). 
  7. IRB# (for research only)
  8. Poster type (Glossy/Full Lamination). The college will cover the cost of a standard poster only. If you would like a fabric poster, you must pay the difference in cost.
  9. If you want to pick up the poster in person or have it *shipped to the conference (*This option is an extra charge)

titleStep 3 : Submit to IRB & Marketing for Approval

Send your poster request form and your poster to the following USF College of Nursing staff via DocuSign:

titleStep 4 : Information on Final Process

Once IRB Coordinator reviews the poster for IRB compliance, they will forward the poster to the appropriate associate dean for approval. The dean will sign off on the poster request form. When all signatures are in place, Marketing will review the poster for branding and then send the poster to the printer.

titleStep 5 : Proof & Final Poster Pick-up
  • Marketing will notify you via email when a proof of your poster is available for your approval (proof arrives 24-48 business hours from when all signatures are acquired).
  • Once the poster is approved, your final poster will arrive in 24-48 business hours.
