Mailboxes vs. Queues

  • Mailbox is an email address, which must be licensed for D365

  • Queue lives within CRM and helps organizes incoming email

  • Routing rules (Dynamics workflow process) move incoming email into the appropriate queue and assign to a specific user when possible

Working in Queues

  • Queue vs. Queue Item

  • Views:

    • My Assigned Items to Work On (email owner = current user)

    • Items I Am Working On (worked by = current user)

    • Queue Items Available to Work On (worked by does not contain data)

    • All Items (all queue items)

    • “Show As”

      • Read Only Grid (default)

      • Editable Grid

  • Pick/Route/Release/Remove

  • Routing to another user

  • Routing to another team

  • Replying to an email

    • “From” address is departmental

    • Insert Template option

  • Activities

    • My Activities (party = current users)

    • All Emails

    • My Draft Emails

    • My Sent Emails

Sending an Email From Scratch

Option 1

  • Navigate to Activities

  • Click Email button in the ribbon menu

  • Paste student’s UID into the To field, or search by name/email address

Option 2

  • Navigate to contact

  • Don’t click email icon on Summary tab (launches email client)

  • Activities tab → New Activity (Email)
