The Advising Functionality in Archivum

The Career Advising Program is designed to help prepare students for residency application. The Associate Dean for Student Affairs, Director of Career Advising and Director of Academic Support Center are also available to assist students. The Academic Support Center is available to students upon acceptance to the MCOM to help students optimize their ability to achieve well in the MD curriculum and in preparation for USMLE exams. 

Archivum now allows students and advisors to directly interface through its platform with these functionalities:

  • A user profile page with personal and academic information
  • The ability to sync with your USF health account and Outlook Calendar giving you the ability to directly schedule appointments with your advisor in real time. 
  • The ability to assign tasks, post updates and kudos to specific users, and send messages.
  • Receive email and Archivum notifications when new actions have occurred such as tasks, appointments, and posts.
  • Provides a central location for meeting notes taken by the student or advisor to track progress and discussions.
  • Receive reminders for upcoming appointments or pending tasks.
  • For student tutors, the ability to log tutoring hours.
  • Access the Archivum platform through the mobile app.

How to access Archivum?

You can access via Web Browser or Mobile Application.

 Notes on a Web Browser

The supported Web browsers are listed in the table below. Web browsers must allow cookies. If a user's browser is not configured to allow cookies, then Archivum displays an alert stating that cookies must be enabled in order to log in.

Microsoft Internet Explorer 11, 10, 9, and 8

Microsoft Internet Explorer 10, 9, and 8 are deprecated and will not be supported in a future release of Archivum.

Support for Microsoft Internet Explorer 8 is being removed in the January 2016 release of Archivum.

Microsoft Internet Explorer 11 is supported on Windows 8.x tablet.

Mozilla Firefox

Mozilla Firefox updates automatically. Archivum supports the most recent stable version of Mozilla Firefox.

Google Chrome

Google Chrome updates automatically. Archivum supports the most recent stable version of Google Chrome.

Apple Safari

Safari is only supported on Mac operating systems.

How to locate your profile page

Click on your name in the upper right corner and select “Profile”.


How to change your display name

On your profile page click “Edit Profile”. 


How to locate user records

A student or faculty member can be located by going to “Records” and clicking on “Users.” Search for the user by first or last name.

How to schedule an appointment 

To schedule an appointment/meeting with a career advisor or the Academic Support Center, go to actions at the top of the page. Click on "Schedule Meeting". Choose if you would like to schedule with your career advisor or the Academic Support Center. The page will take you to a calendar view of the advisor or ASC office availability. Click on the day you would like to schedule your appointment and then choose a time slot of up to 1 hour. Scroll down and select a reason for the meeting witha  brief description. Choose a location. If in person, the Academic Support center Coordinator will update the meeting location when determined. You will receive an email notification when the location is updated. If over the phone, enter a phone number for the advisor to reach you. Once you click submit, the meeting will appear on the student's and advisor's Outlook Calendar. 

Please be aware that modifications or cancellations of appointments cannot be done in Outlook and must be done in Archivum.


How to configure email and alert notifications

 A basic user can turn certain email and alert notifications on and off following these steps:

How to edit your news preferences

Go to your profile/Settings/ News and select what notifications you want to receive (only notifications that you are allow to see will be displayed as an option).
