Student Financial Aid for public institutions reporting on a fall cohort

Welcome to the Student Financial Aid (SFA) component. The purpose of the SFA component is to collect information about financial aid provided to various groups of undergraduate students and military/veteran educational benefits for all students at your institution. 


Student Financial Aid Workflow
  1. Student Success Research & Analysis (SSRA) Data Coordinator for IPEDS creates user ID's for Office of Financial Aid (OFA) Data Coordinator and Accountable Officer on behalf of the Keyholder.
  2. OFA gets Veterans FA data from Office of Veteran Success. (Data is generated via SAP report called Veterans Services Certification by Term(s) IPEDS)
  3. OFA runs extract from Data Warehouse.
  4. OFA Data Coordinator inputs data to IPEDS portal.
  5. OFA Data Coordinator runs edit report.
  6. SSRA Data Coordinator runs checks and balances on edit report and survey data.
  7. SSRA creates External Data Request (EDR) for submission in JIRA based on IPEDS calendar. 
  8. SSRA gets survey package from IPEDS for Box folder.
  9. OFA sends relevant documentation to PMBA for Box.
  10. SSRA creates DocuSign document. 
  11. SSRA sends sign-off via DocuSign.
  12. OFA Data Coordinator, OFA Accountable Officer and Key-holder sign off.
  13. First lock by Key-holder.
  14. Save and share a copy of the submitted survey to BOX and USF ODS website.

2024-25

The following changes were implemented for the 2024-25 data collection period:

  • Moved the cost of attendance and average net price data items to the new IPEDS Cost (CST) survey component.
  • Updated the SFA Survey form and instructions based on legislative changes, U.S. Department of Education guidance, and industry practices.
  • Applied the screening question from Section 2 to all institutions.
  • Applied the context box from Section 2 to all institutions. 
  • Clarified loans to students reported in Section 1, Part C, Line 7 include private education loans.
  • Clarified Fall Enrollment (EF) student counts are carried forward and used to calculate average aid amounts and percentages for academic reporters whereas 12-Month Enrollment (E12) student counts are carried forward and used to calculate average aid amount and percentages for program reporters throughout the survey. 
  • Eliminated the multiple forms that were historically presented on the survey materials page; however, there remain differences in how institutions report. Those differences are indicated in gold text on the single remaining form as presented to OMB. Institutions will not see the gold text and will only see the screens that are applicable to them

The following changes were implemented for the 2023-24 data collection period:

Removed the 'Groups terminology'
Renumbered lines on screens and in instructions
Reiterated instructions on what is reported in each part for specific students and reporting periods
Rephrased "room and board" terminology in survey materials to "food and housing," including Glossary terms
Added FAQ regarding inclusion of incarcerated students Revised FAQ regarding experimental site participants

The following changes were implemented for the 2022-23 data collection period:

Degree/certificate-seeking and non-degree/certificate-seeking data items were added in Parts A and B to disaggregate financial aid award amounts reported in Part B by these student categories.

New FAQs were added to clarify concepts. Minor wording changes were made for clarification.

Report data to accurately reflect the time period corresponding with the IPEDS survey component, even if such reporting is seemingly inconsistent with prior year reporting. Undergraduate Student Groups You will be asked to report information for different groups of students. Interactive Edits and Error Messages SFA contains interactive edits that will check for blank fields, invalid values, or values that fall outside expected ranges. Some error messages will require you to confirm or explain the values that you entered. Some error messages are fatal and will require you to contact the IPEDS Help Desk at (877) 225-2568 for resolution. Context Boxes You will find optional text boxes throughout SFA. Context boxes allow you to provide more information about the data you enter. Some of these context boxes may be made available to the public on College Navigator, so make sure that the information you enter can be understood easily by students, parents and the general public.

There is a new FAQ about reporting financial aid awards for students who attend in the summer.

2021-22 

Report data to accurately reflect the time period corresponding with the IPEDS survey component, even if such reporting is seemingly inconsistent with prior-year reporting. For example, if a summer term began later than usual due to Coronavirus Pandemic postponements, continue to report using the timeframes as defined in the IPEDS instructions. NCES expects that some data reported during the 2021-22 data collection year will vary from established prior trends due to the impacts of Coronavirus Pandemic. If an error edit is triggered even when submitting accurate data, please indicate in the corresponding context box or verbally to the Help Desk that the seemingly inconsistent data are accurate and reflect the effects of Coronavirus Pandemic.

Undergraduate Student Groups
