Admissions

Welcome to the IPEDS Admissions (ADM) survey component. The primary purpose of ADM is to collect basic information about the undergraduate selection process for entering first-time, degree/certificate-seeking students in the fall term. This includes information about admissions considerations, admissions yields, and SAT and ACT test scores (if test scores are used in admissions decisions). The ADM survey component is collected only from institutions that do not have an open admissions policy for entering first-time students, which is captured on the IC Header survey component. 

Admissions Workflow
  1. Survey cycle opens and Student Success Research & Analysis (SSRA) downloads survey documentation from IPEDS and save them in the current year Box folder.  
  2. SSRA Data Coordinator Selects a Cohort – (Summer/Fall). 
  3. SSRA executes the Admissions AppWorx job to populate HUB_IPEDS_ADM_SURVEY_V_D3 table and HUB_IPEDS_ADM_SCORES_V_D3 table.
  4. SSRA creates the Admissions – FTIC Degree/Certificate Seeking Undergraduate Students – Applicants Admissions Full/Part time. 
  5. SSRA creates the Admissions - FTIC Degree/Certificate Seeking SAT Scores – Number Enrolled - Percent Enrolled – 25th% SAT Reading - 25th% SAT Math - 50th% SAT Reading - 50th% SAT Math - 75th% SAT Reading - 75th% SAT Math.  
  6. SSRA creates the Admissions - FTIC Degree/Certificate Seeking ACT Scores – Number Enrolled – Percent Enrolled – 25th% ACT Composite - 25th% ACT Math - 25th% ACT English - 50th% ACT Composite - 50th% ACT Math - 50th% ACT English - 75th% ACT Composite - 75th% ACT Math - 75th% ACT English. 
  7. SSRA Data Coordinator inputs data to IPEDS portal. 
  8. SSRA Data Coordinator verifies survey data using queries.
  9. SSRA Data Coordinator sends completed survey to Admission Office for verification. 
  10. First lock by USF IPEDS Key-holder  
  11. Save and share a copy of the submitted survey to BOX and USF ODS website.

The following changes were implemented for the 2024-25 data collection period:

  • Revised FAQ about “non-first-time” degree/certificate-seeking undergraduate students.
  • Added a new FAQ to better clarify the relationship between “transfer-in” enrollment status on the Fall Enrollment (EF) and 12-month Enrollment (E12)
    components and the “non-first-time” cohort on the Outcome Measures (OM) component.
  • Added a new example to FAQ about students who change from non-degree/non-certificate-seeking to degree/certificate-seeking at the IPEDS reporting institution. 
  • Added additional information to FAQ about resources for tracking subsequent enrollment. 
  • Revised definition for “Non-first-time student (undergraduate)” Glossary term to improve clarity.

2023-24 The following changes were implemented for the 2023-24 data collection period:
Revised survey materials related to Gender Unknown or Another Gender reporting, including non-reporting for small cell size
Added a clarification to Instructions regarding reporting test scores
Added FAQ regarding including incarcerated students in reporting
Revised FAQ regarding experimental site participants

The following changes were implemented for the 2022-23 data collection period:
Two new admission considerations have been added
The options for how institutions use the admission considerations have changed
There is now a "50th percentile (median)" for test scores
References to "summer term" have been changed to "summer session"
Added information to not report test percentiles when there are less than 5 students
FAQ #3 revised to clarify how to report applicants that were considered for admission
The consideration of 'TOEFL' scores was expanded to ‘English Proficiency Test’ scores to cover the range of options available to institutions NCES has added a column for Institutions to report 'Another gender' in Applicants/Admissions/Enrollees


Change

2022-23 

Report data to accurately reflect the time period corresponding with the IPEDS survey component, even if such reporting is seemingly inconsistent with prior- year reporting.

Institutions that have scores based on the old (2017) SAT score range should convert scores using the College Board concordance tables.

Institutions operating on a traditional academic year calendar (semester, trimester, quarter, or 4-1-4) report admissions as of the institution's official fall reporting date or October 15. Institutions operating on an "other academic calendar”, a calendar that differs by program, or that enrolls students on a continuous basis (referred to as program reporters) report admissions as students who enroll any time during the period of August 1 through October 31.

ADM is only applicable to first-time students; DO NOT include other students (i.e., transfer-in students ) in the number of applicants, number of admits, and number (of admitted) that enrolled. Only include levels (full-time, part-time) that you indicated were offered in the IC Header. If you made an error in the IC Header, please call the IPEDS Help Desk.

2021-22

New FAQ has been added to clarify reporting AdmissionsConsiderations if the institution has a test-optional admission policy. 

Revised FAQ to clarify how to report first-time students in the fall term with prior summer enrollment.

Report data to accurately reflect the time period corresponding with the IPEDS survey component, even if such reporting is seemingly inconsistent with prior-year reporting. For example, if a summer term began later than usual due to to Coronavirus Pandemic postponements, continue to report using the timeframes as defined in the IPEDS instructions. NCES expects that some data reported during the 2020-21 data collection year will vary from established prior trends due to the impacts of Coronavirus Pandemic. If an error edit is triggered even when submitting accurate data, please indicate in the corresponding context box or verbally to the Help Desk that the seemingly inconsistent data are accurate and reflect the effects of Coronavirus Pandemic.
