OneDrive - Meeting Recordings

Overview

USF uses OneDrive and SharePoint to store Teams meeting recordings instead of Stream. This is mandatory and due to a change in the way Microsoft will be handling these services. Additional information follows:

Current Status - Stream

  • Currently, when a meeting is recorded it will appear in Stream once it syncs.
  • The meeting can then be edited/trimmed/etc. from the Stream website.

OneDrive for Non-Channel meetings

  • After this change new meeting recordings will be stored in the recorder's OneDrive under a folder called "Recordings". This new folder is generated after the first recording.
  • Once a recording is finished syncing, a notification is posted in chat.
  • Recordings will have similar options to Streams.

SharePoint for Channel Meetings

  • Meeting recordings will be stored in the new "Recordings" folder in the Team's channel and SharePoint site.
  • This new folder is generated after the first recording in each channel.
  • This gives easy access to the video for members of the Team

Permissions and Sharing

Important note: By default, members of a Team have permissions to edit all Folders and Files
  • To check these settings, select the 3 dots on the folder and select “Open in SharePoint”, followed by “Manage Access” under the (i) icon in the top right.
  • In class type teams (including those auto-generated from Canvas), we recommend changing member settings from "Can Edit" to "Can View" if you don't want recordings to be edited/deleted by students in courses.
  • This setting can be changed prior to activating a Team, by recording a meeting to create the Recordings folder then changing permissions.
  • This can also be done in other Teams that require this, as they all have these same permissions layouts.

Currently Missing Features

  • Unlike Stream, OneDrive/SharePoint does not have the option to trim videos or add captioning/transcription.
  • These missing features are on the roadmap to be added at a later time.
  • For auto-captions, we recommend using Kaltura. 

What happens to my previous recording?

The previous recordings will still live in the "old" Microsoft Stream. Once the new Microsoft Stream is released in the future, we will be able to determine where this data will go.
